Why this role exists
The Administrative Assistant, RDD Support exists to free our Regional Development Directors to focus on building relationships with major donors and growing the resources that fuel our mission in Africa. This role handles the operational and administrative backbone of the development function: managing data, coordinating schedules, preparing donor materials, and ensuring nothing falls through the cracks. We’re looking for someone who takes ownership, communicates well, and finds deep meaning in supporting work that has eternal significance.
What you’ll do
General administrative support
- Assist the Regional Development Director with daily administrative duties.
- Draft, proofread, and send donor letters, proposals, and follow-up correspondence on behalf of the RDD.
- Answer and route calls as necessary, providing excellent customer service.
- Schedule and coordinate meetings, donor calls, and travel logistics for the RDD.
- Proactively complete tasks based on general guidance and departmental protocols.
- Other duties as assigned.
RDD-specific support
- Enter and maintain accurate donor records, contacts, proposals, commitments, and follow-up actions in Blackbaud CRM within required timeframes.
- Compile and submit weekly activity reports on behalf of the RDD to appropriate supervisors.
- Monitor and record fundraising metrics, portfolio activity, and performance data.
- Assist with preparation of donor presentations, impact updates, and solicitation materials.
- Support the planning and coordination of donor cultivation and stewardship events within the region.
- Flag data discrepancies or CRM issues to the appropriate staff promptly.
- Assist in identifying and researching new major gift prospects as directed by the RDD.
Data and reporting
- Handle detailed data entry and record-keeping in Blackbaud CRM and Microsoft Excel.
- Monitor and record departmental metrics and prepare reports as needed.
- Maintain data integrity and accuracy across development team records.
What we’re looking for
- Minimum three to five years of experience in an office environment with proven success.
- Bachelor’s degree in any field.
- Proficiency in MS Office, especially Excel and Word.
- Willingness to be trained on database tools, including Blackbaud Raiser’s Edge or NXT.
- Strong interpersonal skills, active listening, and ability to build rapport over the phone and in writing.
- Excellent grammar and writing skills, including the ability to draft donor correspondence and reports.
- Humble, team-oriented approach with servant leadership qualities.
- Able to manage multiple tasks and respond to queries promptly.
- Good proofreader with strong editing skills.
- Background in ministry, counseling, or prayer, with knowledge of Biblical scriptures and principles.
- Experience supporting a fundraising, development, or major gifts team (preferred).
- Customer service experience in a Christian or nonprofit setting (preferred).
